In line with their commitment to providing quality services to people supported, New Zealand Care wanted to introduce a more innovative way support inclusion, manage person centered plans and paperwork, accelerate the focus on outcomes whilst helping staff and management streamline processes and reduce costs.
Management were also increasingly aware that to continue to provide a quality service to their clients in the future, they needed to change to meet the challenges of a rapidly changing external environment.
Management recognised that existing case management and paper based planning systems were error prone and did not support efficient practices, good performance management and quality processes.
Creating A Configurable Solution
Following an extensive review of available case management solutions internationally, iplanit care management software from Aspirico was selected for initial pilot implementation in 2016.
During the following year the system was rolled out nationally following configuration of the service to meet the operational needs of the organisation, stakeholders and clients.
iplanit provided New Zealand Care management, staff and service users with an accessible, web based service that put people in control of their lives. The service was configured to mirror and improve existing New Zealand Care Person-centred approaches. iplanit core and a range of optional modules covering work management, financial management, KPI reporting , incident management and care planning have all been successfully deployed to support staff and enhance the lives of the people the organisation supports.
Within one year of commencement, NZ Care Disability have a national deployment successfully embedded for thousands of people enabling management to manage quality, track achievement of tens of thousands of outcomes and related actions. Reports have been configured to link into New Zealand Care specific and statutory KPI’s for quality, risk management and evidencing value to funders.
This in turn has provided management with a dataset that has significantly improved competitiveness and replaced a cumbersome, expensive paper based system, thus saving valuable financial resources.
The IT skillset for staff has improved immensely as a result of the roll out of iplanit.
The system allows staff to easily log in an update and edit plans whenever they wish, providing flexibility and improved risk management through reminders and notifications to staff when plans and outcomes are overdue.
iplanit can also be used by the person supported and by family and friends facilitating a deep level of transparency, empowerment and co-production. Stakeholders working with New Zealand Care have reacted with enthusiasm to the new levels of transparency which iplanit offers.
As iplanit is easily accessible on mobile devices, it can save the carer a lot of time travelling between offices and people they support allowing them to focus more on clients themselves.
As a result of the iplanit project, family and friends will have the option to access to the support plan and progress, and be empowered to engage in a more productive way. Management now can monitor staff and unit performance, plan deployment, outcome and action progress and ensure quality compliance. All this data is live and configured to specific needs of New Zealand Care in addition to graphical reports which are available on a dashboard for administrators and managers.
